Position Purpose
Under the general direction of the Vice President of Finance & Administration, this role is responsible for fielding questions, timely processing and monthly closing of assigned accounts payable and account receivable. These responsibilities include but are not limited to the day to day finance activity in Accounts Payable and Accounts Receivable: supervising the filing system for departmental records; performing data entry and reconciliation of assigned general ledger accounts.  Assist with the month and year-end closing process and the preparation of assigned reports. Filing various state reports.


Essential Duties/Responsibilities:

Executive Support

  • Oversee or prepare the cash box for front door sales every morning.
  • Responsible for reviewing and approving all A/P, expense reimbursements, corporate credit card charges, cash receipts and monthly general ledger entries. Review batches for accuracy and documentation.
  • Perform monthly balance sheet reconciliations and complete monthly bank reconciliation of operating checking account(s) for the VP’s review and approval.
  • Distribute or delegate incoming mail
  • Timely and accurately prepare and file all required sales taxes returns
  • Prepare and submit annual reports for states, Government SAMS report, bank forms and other various reports
  • Oversee ‘Record Retention Policy’, move records to storage and schedule annual 7-year purge.
  • Review bi-weekly payroll for posting to the general ledger; accrue monthly payroll; submit Health Saving Account and 403(b) to employees’ accounts.
  • Prepare monthly reconciliation of various bank accounts. Prepare and post necessary approved journal entries to adjust the general ledger to actual
  • Suggest weekly AP payments, prepare ACH’s for weekly submission
  • Reconcile assigned accounts and agree to the general ledger monthly; review general ledger transactions for accuracy, proper account classification based on the chart of accounts and budget classification guidelines.Prepare and post necessary approved journal entries to adjust the general ledger as necessary.
  • Prepare monthly investment activity for posting.
  • Oversee and support to Accounts Payable and Accounts Receivable; review and post their entries into the system; assist and support any issues
  • Assist in completing the month and year end close and preparation of the financial statements.
  • Train on cash management system to be implemented by the Vice President of Finance & Administration.
  • Maintain and submit various state license tag applications, answer all inquiries pertaining to them.
  • Prepare yearly indirect cost calculation for the Department of Interior.
  • Oversee and track revenue recognition of all grants.
  • Prepare semi-annual SF 425 statements for filing with National Park Service
  • Develop, train, evaluate and coach the finance team.

Qualifications:
  • Bachelor’s degree
  • Minimum 10 years of related experience required
  • Impeccable managerial and interpersonal skills
  • Proven track record of effectively interacting with senior management
  • Excellent verbal and written communication skills required
  • Ability to work strategically and collaboratively across departments
  • Familiar with the programs NetSuite, Adaptive, and ADP
  • Able to multitask under pressure, highly organized as well as both detail and process-oriented
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
